The Perfect Wedding Day Timeline for Beautiful Photos & Video - A Photography & Videography Perspective

One of the most common questions we get from couples is:

"How much time should we allow for photos and video on our wedding day?"

After filming and photographing hundreds of weddings across South East Queensland, we've learned that the secret to beautiful wedding photos isn't expensive cameras, fancy venues or perfect weather. It's time.


A relaxed timeline gives you the freedom to enjoy your wedding day, spend meaningful moments with your family and friends, and allows us to capture genuine emotions instead of rushed moments.

While every wedding is unique, this guide outlines the timeline we typically recommend for couples booking our popular 10-hour Photography & Videography Package, based on a 3:00 PM ceremony.


Why Your Timeline Matters More Than You Think

One of the biggest mistakes couples make when planning a wedding is underestimating how quickly the day goes.

A timeline that feels rushed often leads to unnecessary stress, delayed ceremonies and less time for the creative portraits that couples love most.

By allowing enough time throughout the day, we can capture the full story of your wedding naturally and beautifully.

Most importantly, you'll actually get to enjoy your wedding rather than feeling like you're constantly racing against the clock.


Don't Forget About The Light

As photographers and videographers, we are always thinking about one thing: Light.
Beautiful light can completely transform your wedding photos and video. For example, a ceremony held at 2:00 PM in full sun will look very different to a ceremony held later in the afternoon with softer light. Likewise, a short sunset session often creates some of the most romantic and cinematic images of the entire day.

If you're still deciding on ceremony times or planning your schedule, we're always happy to provide advice. Sometimes a small adjustment to your timeline can make a huge difference to the final result.

The Timeline

12:00 AM – Groom Preparations

Recommended Coverage: 45–60 Minutes

We generally begin with the groom and groomsmen preparations.

This part of the day is often relaxed, fun and full of anticipation. It's also a great opportunity to capture important details before the celebrations begin.

Our Advice

Have all suits and accessories ready before we arrive and choose the brightest room available. Natural light makes a huge difference to both photography and video.

1:00 PM – Bridal Preparations

Recommended Coverage: 90–120 Minutes

Bridal preparations are often one of the most emotional parts of the day.

This is where we capture many of the details and storytelling moments that help bring your wedding film and gallery to life.

We generally recommend allowing at least 90 minutes so everything can happen naturally without feeling rushed.

Our Advice

Have all important items ready in one location before we arrive. This includes your dress, shoes, jewellery, invitation suite, perfume and rings. A tidy room and good natural light can make a surprisingly big difference to your final images.

2:30 PM – Guest Arrival & Ceremony Setup

Recommended Coverage: 30 Minutes


Before the ceremony begins, we capture the atmosphere of the venue and all the little details you've spent months planning.

Our Advice

These images often become some of the most valuable memories because they're moments many couples never get to see themselves.

3:00 PM – Ceremony

Recommended Duration: 30–45 Minutes


The ceremony is the heart of your wedding day.

While it often feels like it flies by, it's packed with emotional moments that become some of the most treasured memories in your wedding gallery and film.

A Small Favour To Ask Your Celebrant

A great celebrant can help create incredible photos and video with just a few simple announcements.

We recommend asking your celebrant to:

  • Encourage guests to keep phones down during key moments.
  • Explain the petal toss before the ceremony concludes.
  • Ask guests to throw petals upwards rather than directly at the couple.
  • Remind guests to turn around and look back towards the couple at the end of the aisle.
  • Allow time for a celebratory kiss and dip before the couple leaves the ceremony area.

These small details make a huge difference and help create some of the most iconic images from the day.

3:45 PM – Family & Friends Congratulations

Recommended Duration: 10–15 Minutes


One of the most emotional moments of the day happens immediately after the ceremony when family and friends gather to congratulate the newlyweds. Many couples are tempted to skip this part, but we strongly recommend allowing some time for it.

Take your time and enjoy this moment. Some of the most genuine smiles and emotional photographs of the day happen right here.

4:00 PM – Family & Group Photos

Recommended Duration: 20–40 Minutes

Family photos are some of the most important images you'll ever have.

While they may not be the most glamorous part of the day, they're often the photos that become family treasures for decades to come.


What We Capture

  • Immediate family
  • Extended family
  • Friends and special guests
  • Large group photo (optional)


Our Advice

Prepare a family photo list before the wedding and nominate someone who knows both families to help gather people.

The smoother this process runs, the more time you'll have for creative portraits afterwards.

4:30 PM – Couple & Bridal Party Photos

Recommended Duration: 60–120 Minutes

This is where we create many of the images and cinematic moments you see throughout our portfolio.

After the excitement of the ceremony and family photos, this is often the first opportunity for you to spend some quality time together as a newly married couple. It allows everyone to relax, take a breath and enjoy the moment while we create a beautiful collection of portraits and video footage.

Don't worry if you're not comfortable in front of a camera. Almost every couple tells us the same thing before their wedding day. The good news is that you don't need any experience. Our job is to guide you naturally so you can focus on each other rather than worrying about posing.

We love creating a mixture of classic portraits, natural candid moments and cinematic footage that reflects your personalities and relationship. Depending on the time available, we may also visit multiple locations, utilise different backgrounds and make the most of the available light.

This is also the perfect time for drone footage where permitted and weather conditions allow.

One of the biggest factors that influences your portraits is the position of the sun. Earlier in the afternoon, we often work with brighter light and carefully choose locations that provide flattering shade and backgrounds. As the sun gets lower in the sky, the light becomes softer, warmer and more romantic.

For this reason, we often recommend planning your timeline around sunset where possible. The hour leading up to sunset, often referred to as golden hour, produces some of the most beautiful light of the entire day. If your sunset is at 6:30 PM, for example, we would ideally love to capture at least part of your portrait session between 5:30 PM and sunset. These images often become favourites in both your gallery and wedding film.

Our Advice

The more time available, the greater variety of images and video footage we can create.

While beautiful portraits can certainly be achieved in 45 minutes, we often find that the best images happen once couples have had time to relax and settle into the experience. Additional time also allows us to explore different locations, experiment with creative ideas and capture a wider variety of photos and video clips.

For couples who love photography and want a diverse gallery, we typically recommend allowing closer to 60–90 minutes, with an additional 10–15 minutes around sunset if possible.

When planning your wedding day, it's always worth checking your venue's sunset time and discussing it with your photographer and videographer. A small adjustment to your schedule can often make a significant difference to the final result.

Most importantly, don't think of this as a photoshoot. Think of it as an opportunity to spend some uninterrupted time together, celebrate becoming newlyweds and enjoy one of the most memorable parts of your wedding day.

6:00 PM – Reception Entrance, First Dance & Dinner Service

Recommended Duration: 60–120 Minutes

The energy shifts dramatically once the reception begins. After a day filled with anticipation, emotions and formalities, this is often where the celebrations truly come to life.

Your reception entrance is one of the first moments where all of your guests come together to celebrate you as a married couple. It's full of excitement, laughter and genuine reactions. Many couples also choose to move straight into their first dance, creating a seamless transition into the evening festivities.

Following the formal entrance, this is typically the time when entrée and main meals are served, allowing guests to relax, enjoy great food and spend time with family and friends before the evening formalities continue.

During dinner service, we also make our way around the room capturing table photos and candid interactions between guests. These often become some of the most treasured photographs from the day, as they include family members and friends who may not have been part of the formal portrait sessions earlier.

Our Advice

Take your time and enjoy the moment. There's no need to rush through your entrance or first dance. Slow movements, genuine smiles and simply being present with each other often create the most beautiful photos and video.

If you're planning a first dance, consider allowing enough space around the dance floor so guests aren't crowded too close. This gives us more flexibility for capturing creative angles and allows everyone to enjoy the moment.

For couples wanting maximum time with their guests later in the evening, we often recommend completing the first dance immediately after entering the reception. This keeps the momentum flowing and allows guests to relax and enjoy dinner while we capture table photos and natural moments throughout the room.

8:00PM – Speeches

Recommended Duration: 30–45 Minutes


Some of the most emotional moments of the day happen during speeches.

These moments often become key storytelling elements in your wedding film.

Our Advice

Ensure all speakers use a microphone and are positioned in a well-lit area whenever possible.

8:45 PM – Cake Cutting

Recommended Duration: 5-10 Minutes


A short but important moment that often marks the transition into the evening celebrations.

A quick pause before cutting the cake gives us time to capture the perfect shot.

9:00 PM – Dancing & Celebration

This is where everyone lets their hair down and celebrates.
